Privacy Policy
How we handle your personal information under Alberta's Personal Information Protection Act (PIPA) and other Canadian privacy law.
In force from: 2026-11-05
Who we are
GM Tenis Academy, at Red Deer (hereinafter “we”) explains in this policy how we collect, use, disclose and protect personal information of customers, people who contact us and visitors to this website.
Laws that apply
As a private-sector organisation operating in Alberta, we are governed by Alberta's Personal Information Protection Act (PIPA). Where personal information crosses provincial or national borders in the course of commercial activity, the federal Personal Information Protection and Electronic Documents Act (PIPEDA) may also apply. Our commercial electronic messages follow Canada's Anti-Spam Legislation (CASL). If these laws are amended or replaced, we will update this policy.
What we collect
- Contact details – name, phone number, email address and, for invoices, mailing address.
- The content of your enquiry and any details you provide about the service you need.
- Billing details – business name, address and tax numbers, if you request an invoice.
- Payment information – processed by our payment provider; we do not store full card numbers.
- Website data – server logs (IP address, browser type, date and time) for security, and, with your consent only, analytics data (see Cookies below).
We collect only what is reasonable for these purposes and we do not sell personal information.
Why we use it
- To respond to enquiries, prepare estimates and contact you about the service.
- To carry out and document the service, handle complaints and honour warranties.
- To keep accounting and tax records required by law.
- To send service reminders and offers – only with your express consent, which you can withdraw at any time.
Consent
We rely on your consent, which may be express (for example ticking a box on the form) or implied where the purpose is obvious – such as using your phone number to reply to your enquiry. You may withdraw consent on reasonable notice, subject to legal or contractual restrictions; we will tell you the likely consequences.
Marketing emails (CASL)
We send commercial electronic messages such as offers only if you have given express consent – for example by ticking the optional box on our form – or where CASL allows implied consent based on an existing business relationship. Every message identifies GM Tenis Academy, includes our mailing address and contains a working unsubscribe link. We process unsubscribe requests within 10 business days.
Who we share it with
We share personal information only as needed:
- with suppliers and specialist subcontractors, to complete the service you asked for;
- with service providers who host our website, email and accounting tools – some are located outside Canada (for example in the United States), so your information may be accessible to authorities there under their laws;
- with government or law-enforcement bodies where the law requires or allows it.
Cookies and analytics
Strictly necessary storage remembers your cookie choice in your browser's local storage. Google Consent Mode v2 is set to “denied” by default, so no analytics or advertising cookies are set until you choose. You can change your choice at any time via “Cookie settings” in the footer. Details are in our Cookie Policy.
How long we keep it
We retain records for the duration of your customer relationship and for a period of up to seven years thereafter for tax and warranty purposes; enquiries that do not result in a visit are deleted within 12 months. We destroy or anonymize information that is no longer required.
How we protect it
We use reasonable security safeguards: access limited to staff who need it, password-protected systems, and secure disposal of paper and digital records. Should a privacy breach give rise to a real risk of significant harm, we will notify you and the Office of the Information and Privacy Commissioner of Alberta as required by law.
Your rights
You may ask to access the personal information we hold about you and to correct it if it is inaccurate. We respond generally within 45 days, as required by PIPA. There is no fee for the majority of requests.
Privacy contact and complaints
Our privacy contact is accessible by email via the contact form on this website. Should you be dissatisfied with our response, you may contact the Office of the Information and Privacy Commissioner of Alberta (OIPC), which oversees Alberta's Personal Information Protection Act (PIPA) – www.oipc.ab.ca; or, where PIPEDA applies, the Office of the Privacy Commissioner of Canada (OPC) – www.priv.gc.ca.
Changes to this policy
We may revise this policy, for instance when legislation or the tools we use are updated. The current version is always on this page, with the effective date shown at the top.
